Privacy Policy
This privacy policy explains how Cromwell & Smith Pty Ltd, trading as Intelligence Me. (“we”, “us”, “our”), collects, uses, stores, and discloses personal information. It applies to this website (intelligenceme.com.au), our AI training, workshops, cohorts, and advisory services, and any other dealings you have with us.
We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). We follow the APPs as our standard even where an exemption might otherwise apply to us.
1. The short version
- We only collect what we need to respond to you, deliver our training, and run our business.
- We do not sell your personal information. Ever.
- We do not use your personal information or your business information to train AI models.
- You can ask to see, correct, or delete the information we hold about you at any time.
- If something goes wrong, we will tell you and fix it, and you can complain to the Office of the Australian Information Commissioner (OAIC).
2. What personal information we collect
Depending on how you deal with us, we may collect:
- Contact details: your name, email address, phone number, business name, and job title.
- Enquiry and booking details: what you tell us when you email, call, or book a discovery call, such as your goals, your team size, and the tools you use.
- Training and engagement details: attendance, session notes, questions you ask, work samples or prompts you choose to share, and feedback you give us.
- Billing details: billing contact, business address, ABN, and payment records. Card payments are processed by our payment provider; we do not store full card numbers.
- Technical information: your IP address, browser type, device type, pages visited, and the date and time of your visit, collected automatically when you use this website.
- Testimonials: if you give us a review or testimonial, your name, role, company, and comments, published only with your permission.
We do not intend to collect sensitive information (such as health information, racial or ethnic origin, political opinions, religious beliefs, or criminal records). Please do not share it with us. If you do, we will only hold it with your consent and where it is reasonably necessary, or we will destroy it.
You can deal with us anonymously or under a pseudonym where that is practical, for example when asking a general question. We will need your real name and contact details to enrol you in training or to invoice you.
3. How we collect it
- Directly from you, when you email or call us, book a call, attend training, or engage our services.
- From your employer or organisation, when they enrol you in a workshop, cohort, or in-house program.
- Automatically, through this website and our hosting and security systems (see section 8).
- From publicly available sources, such as your business website or LinkedIn profile, when we prepare for a meeting you have booked with us.
If we receive personal information we did not ask for, we will decide whether we could have collected it lawfully. If not, we will destroy or de-identify it as soon as practical.
4. Why we use it
We use personal information to:
- respond to enquiries and book discovery calls;
- plan, deliver, and improve our training and advisory services;
- tailor training to your business, tasks, and tools;
- issue invoices, receive payments, and keep business records;
- send you information about our services, where you have agreed or where the law allows (see section 7);
- keep this website secure and working properly; and
- meet our legal, tax, and regulatory obligations.
We will not use your personal information for an unrelated purpose unless you consent, or the law requires or allows it.
5. AI tools and your information
Because we teach people how to use AI, we hold ourselves to a higher standard here.
- No model training. We do not use your personal information, or any business information you share with us, to train or fine-tune AI models.
- Our own use of AI. We may use reputable AI tools to help us prepare training materials, summarise session notes, or draft documents. Where we do, we use business or team accounts with settings that exclude our data from model training where the provider offers this, and we remove or minimise personal information first wherever practical.
- During training. In our sessions you may use third-party AI tools such as ChatGPT, Claude, Gemini, or Microsoft Copilot under your own or your employer’s accounts. Anything you enter into those tools is handled by that provider under its own terms and privacy policy, not by us. Part of our training, and many of our AI articles, teach you how to do this safely, including what never to paste into an AI tool.
- Automated decisions. We do not make decisions that significantly affect your rights or interests using computer programs alone. A person at Intelligence Me. is always responsible for decisions about you, such as whether to accept an enrolment or how to resolve a complaint. If this changes, we will update this privacy policy before it happens, as the Privacy Act requires.
6. Who we share it with
We only share personal information where it is needed for the purposes above, with:
- service providers who help us run our business, such as website hosting, email, scheduling, video conferencing, accounting, payment processing, and AI software providers;
- your employer or organisation, where they have engaged us to train you (for example, attendance and completion records);
- our professional advisers, such as accountants, lawyers, and insurers; and
- government bodies, courts, or law enforcement, where the law requires or allows it.
We require our service providers to protect personal information and to use it only to provide their services to us.
Overseas disclosure. Our website is hosted in Australia. Some of our service providers, including Google and AI and software providers, may store or process information in other countries, most commonly the United States, and also in Europe and Asia. Before we disclose personal information overseas, we take reasonable steps to make sure the recipient handles it in a way that is consistent with the APPs.
7. Marketing
We will only send you marketing emails or messages with your consent or where the Spam Act 2003 (Cth) otherwise allows it. Every marketing message will identify us and include an easy way to unsubscribe. You can also opt out at any time by emailing service@cromwellandsmith.com. We will action requests promptly, and within 5 business days.
8. Cookies, analytics, and website technology
This website uses a small number of technologies to work securely and quickly:
- Hosting and caching: our host and our caching software process your IP address and request details to deliver pages to you.
- Security: our firewall (Wordfence) records IP addresses and request details to detect and block attacks and spam.
- Fonts: we load fonts from Google Fonts, which means your browser sends your IP address to Google. See Google’s Privacy Policy.
- Images: some client logos are loaded from cromsalvatera.com.au, a website operated by one of our directors, which receives standard request details such as your IP address.
As at the effective date of this policy, we do not use advertising pixels or third-party analytics tracking on this website. If we introduce tools such as Google Analytics or the Meta Pixel, we will update this privacy policy first and, where required, ask for your consent. You can block or delete cookies through your browser settings; the website will still work.
9. How we protect it
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, change, or disclosure. These include encrypted (HTTPS) connections, firewall and malware protection, strong passwords and multi-factor authentication on our business accounts, access limited to people who need it, and choosing reputable service providers.
No method of transmitting or storing data is completely secure, so we cannot guarantee absolute security. Please contact us straight away if you think your information has been compromised.
10. Data breaches
If we experience a data breach that is likely to result in serious harm to you, we will notify you and the OAIC as required by the Notifiable Data Breaches scheme, and we will tell you what steps you can take to protect yourself.
11. How long we keep it
We keep personal information only for as long as we need it for the purposes in this privacy policy, or as long as the law requires. For example, we keep financial and tax records for at least 5 years and training records for up to 7 years. When we no longer need information, we destroy or de-identify it securely.
12. Your privacy policy rights: access, correction, and deletion
You can ask for access to the personal information we hold about you, ask us to correct it, or ask us to delete it, by contacting us using the details below. We will respond within 30 days. We do not charge for making a request. If we refuse a request, we will explain why in writing, unless that would be unreasonable, and tell you how to complain.
13. Children
Our services are designed for adults, business owners, professionals, and organisations. We do not knowingly collect personal information from children under 16. If you believe a child has given us personal information, please contact us and we will delete it.
14. Complaints
If you have a concern about how we have handled your personal information, please contact us first. We will acknowledge your complaint within 5 business days and aim to resolve it within 30 days.

15. Changes to this privacy policy
We may update this privacy policy as our services, technology, or the law change. The current version will always be on this page with its effective date. If we make a significant change, we will take reasonable steps to let you know.
